These Terms & Conditions (“Terms”) govern the relationship between Medi Trip Limited (“Medi Trip”, “we”, “us”, “our”) and any participant (“you”, “the participant”, “the volunteer”, “the intern”) engaging Medi Trip’s services.

By registering, making payment, or participating in any Medi Trip–facilitated programme, you confirm that you have read, understood, and agreed to these Terms in full.

 

1. Company Status & Nature of Services

1.1 Medi Trip Limited is a United Kingdom & United Republic of Tanzania - registered service facilitation company, it is not a medical provider, employer, university, licensing authority, charity, or government body.

1.2 Medi Trip does not deliver healthcare, education, or charitable services directly. Our role is limited to logistical coordination, orientation, administration, and introductions to independent third-party hosts (including hospitals, clinics, NGOs, community projects, and accommodation providers).

1.3 All placements operate under Tanzanian law, institutional policies, and applicable regulatory or ministerial frameworks, which may be subject to interpretation, discretionary enforcement, or change beyond Medi Trip’s control.

 

2. Scope of What Medi Trip Provides

  1. “Coordination and services” refer to administrative, logistical, and facilitative support related to programme delivery, including communication with host institutions, scheduling introductions, general orientation, and practical guidance. 

    1. This does not include personal concierge services, personal medical care, legal representation, immigration control, personal financial management, or guarantees of outcomes or availability beyond reasonable working hours, except in clear emergencies.

  2. Medi Trip agrees to exercise reasonable care and due diligence to:

    1. Provide comprehensive pre-arrival guidance and preparation materials

    2. Arrange airport transfer on arrival and departure where included

    3. Deliver an in-country orientation

    4. Facilitate placement introductions aligned as closely as reasonably possible to your stated background and objectives

    5. Assign a Medi Trip coordinator and identify an on-site supervisor where applicable

    6. Arrange participant accommodation within Medi Trip–operated or affiliated housing, where included

    7. Provide general pastoral and logistical support during your stay

    8. Act ethically with local partners and communities

 

  1. Medi Trip does not guarantee:

    1. Specific work flow, procedures, workload, shift times, hours, or how busy a department will be

    2. One-to-one supervision or personal mentoring at all times

    3. That you will be the only volunteer or student in a department

    4. That supervision levels or style will be the same every day or every shift

    5. That your placement experience will match another volunteer’s experience

    6. Acceptance, continuation, length, or permanence of any department

    7. Approval by any facility, council, hospital, university, or licensing authority

 

  1. Medi Trip is an employer of its own administrative, coordination, and support staff. Medi Trip is not the employer of any volunteer, intern, participant, or placement facilities. No employment relationship is created between Medi Trip and any participant by virtue of registration, payment, or participation in a programme.

 

3. Participant Responsibilities & Scope of Practice

By participating, you confirm and agree that you:

3.1 Will act lawfully, ethically, and strictly within your documented proof of background education, training, and qualification.

3.2 Will not practise any regulated or “protected” profession unless explicitly authorised by the host facility and permitted under local law.

3.3 Understand that this is an unpaid international volunteering or internship experience. No salary, stipend, or reimbursement is provided.

3.4 Are responsible for reading, understanding, and complying with all guidance issued by Medi Trip, host institutions, and local authorities.

3.5 Accept full responsibility for any consequences arising from misrepresentation, non-compliance, or acting beyond your authorised scope.

 

4. Visas, Immigration & Legal Status

4.1 You are solely responsible for obtaining and maintaining the correct visa or permit for your activities in Tanzania.

4.2 Medi Trip may provide general guidance but does not control immigration decisions, approvals, refusals, delays, or removals.

4.3 Any financial or other loss resulting from immigration or border decisions is not the responsibility of Medi Trip.

4.4 Your passport must be valid for at least six (6) months beyond your date of entry.

 

5. Ministry, Hospital & Professional Registration Fees

5.1 Certain institutions require separate hospital, ministry, or professional contribution fees for foreign participants.

5.2 These fees:

• Are set by institutions or authorities, not Medi Trip
• Are paid directly to the institution
• Are non-refundable and non-transferable

 

6. Insurance, Health & Assumption of Risk

6.1 You must obtain comprehensive travel insurance covering:

• Medical care and emergency evacuation
• Personal liability
• Professional indemnity where applicable
• Loss, theft, trip interruption, and cancellation

6.2 You are responsible for all vaccinations, prophylaxis, and health precautions.

6.3 You acknowledge that international travel and placement environments involve inherent risks, including illness, injury, accidents, crime, political instability, infrastructure limitations, and rapidly changing conditions.

6.4 You participate voluntarily and at your own risk.

 

7. Medical Emergencies & Decision Authority

7.1 In the event of illness or injury, Medi Trip may assist with emergency coordination but does not provide medical advice or treatment.

7.2 You authorise Medi Trip to liaise with insurers, emergency services, and medical providers where reasonably necessary.

7.3 You consent to emergency medical treatment where you are incapacitated and agree that all related costs remain your responsibility.

 

 

8. Conduct, Supervision & Placement Termination

8.1 You must comply with host institution rules, supervision, and local law at all times.

8.2 Medi Trip and host institutions reserve the right to suspend or terminate participation immediately for safety, compliance, or conduct reasons.

8.3 Removal from a placement will occur without refund.

8.4 Placement Concerns, Changes & Early Termination

8.4.1 Where concerns arise regarding a placement, participants are expected to notify Medi Trip within a reasonable timeframe during the programme period.

8.4.2 Medi Trip may, at its discretion, review concerns and consider reasonable steps to address them, including clarification or adjustment where feasible.

8.4.3 Placement environments remain under the control of host institutions. Medi Trip does not guarantee that concerns can be resolved, that a placement can be altered, or that an alternative placement will be available.

8.4.4 Dissatisfaction, changes in supervision, workload, learning opportunities, or placement dynamics do not constitute a failure of services and do not give rise to any entitlement to refunds, compensation, extensions, or replacement placements.

8.4.5 Where a placement ends early due to institutional decisions, safety considerations, participant conduct, or operational constraints, Medi Trip bears no obligation to provide refunds, extensions, or substitute placements.

 

 

9. Safeguarding & Child Protection

9.1 Participants must not engage in unsupervised contact with children or vulnerable persons.

9.2 Any safeguarding concerns, disclosures, or boundary issues must be reported immediately to the local coordinator.

9.3 Breaches of safeguarding expectations result in immediate removal and may be reported to relevant authorities.

 

 

10. Daily Living, Accommodation & Personal Responsibility

10.1 Daily Transport & Commute

Daily transport to and from placements and during daily living is the responsibility of the participant unless otherwise stated in writing.

Participants should expect to use local transport methods, which may include walking, shared taxis, or public transport. Travel times may vary due to traffic, weather, road conditions, or local events.

Medi Trip does not guarantee:

  • Fixed commute times

  • Door-to-door transport

  • Private or exclusive transport arrangements

Participants are expected to plan accordingly and allow flexibility.

 

 

10.2 Accommodation Standards & Expectations

Accommodation provided by Medi Trip forms part of a short-term programme arrangement and does not constitute a tenancy, lease, or hotel service.

Accommodation standards reflect local norms and infrastructure. Participants should not expect Western hotel-style services, amenities, or uninterrupted utilities.

Participants must:

  • Respect accommodation rules, staff, and property

  • Keep shared spaces clean and usable for others

  • Follow reasonable quiet hours

  • Use water, electricity, WIFI, services and shared resources responsibly

Requests for special accommodation arrangements cannot be guaranteed and are subject to availability.

 

10.3 Shared Living & Community Conduct

Accommodation may be shared with other participants, staff, or guests.

Participants are expected to:

  • Show consideration for others in shared spaces

  • Communicate respectfully regarding noise, cleanliness, and shared facilities

  • Avoid confrontational, passive-aggressive, or disrespectful behaviour

Shared living requires flexibility and cooperation. Differences in habits, culture, or routine do not constitute a breach of service.

 

 

10.4 Meals & Daily Needs

Meal arrangements vary by accommodation and programme type.

Offered:

Breakfast every day

Dinner, Monday to Friday 

Lunch is not offered

Unless explicitly stated, Medi Trip does not guarantee:

  • Specific diets, personalised meal schedules, or food preferences

  • Restaurant-style service or unlimited choice and unlimited provisions

Participants are responsible for managing personal dietary needs and communicating allergies or medical requirements in advance. Local food options may differ from those at home and require adaptability.

 

10.5 Personal Belongings & Security

Participants are responsible for their personal belongings at all times.

Medi Trip is not liable for:

  • Loss, theft, or damage to personal property

  • Items left unattended or unsecured

Participants are encouraged to take reasonable precautions, including securing valuables and limiting the amount of high-value items brought.

 

10.6 Damage, Misconduct & Removal

Damage to property, misuse of facilities, or misconduct within accommodation may result in:

  • Financial responsibility for repairs or replacement

  • Immediate removal from accommodation or programme

  • Legal recovery where appropriate

Removal due to misconduct does not entitle participants to refunds or alternative accommodation.

 

10.7 Personal Responsibility & Adaptability

Daily life in Tanzania requires flexibility, patience, and cultural respect.

Utilities, services, and routines are often affected or led by factors outside Medi Trip’s control, including infrastructure limitations or local conditions. These realities do not constitute service failure.

Participation in the programme indicates acceptance of these conditions.

 

11. Zero-Tolerance Behaviour Policy

Illegal activity, substance misuse, harassment, discrimination, abuse, or culturally offensive behaviour will result in immediate removal without refund and possible reporting to authorities.

 

12. Excursions & Independent Travel

12.1 Safaris, excursions, and independent travel fall outside the scope of placements 

12.2 Participation in independent activities is at your own risk.

 

13. Photography, Media & Confidentiality

13.1 Explicit consent is required before photographing individuals, particularly children.

13.2 Confidential or sensitive information must not be shared.

13.3 Medi Trip may use images for awareness or marketing with appropriate discretion.

 

14. Changes, Cancellations & Refunds

14.1 Placement Changes

Placement changes are not guaranteed and remain at the discretion of Medi Trip, subject to availability, operational feasibility, and host institution approval.

Where a placement change is requested after the programme has commenced, with no adverse affect, an administrative fee of USD 60 may apply. Medi Trip is not obliged to offer an alternative placement where a change request, from an agreed programme, arises from participant personal choice, conduct, non-compliance, or safety concerns.

Fees paid directly to host institutions or facilities are outside Medi Trip’s control, are non-transferable, and are subject to the refund policies of those institutions.

 

14.2 Registration Fees

Registration fees are non-refundable under all circumstances.

A paid registration fee may be retained as a credit for a future booking for up to 24 weeks from the date of payment. After this period, a new registration fee will be required.

 

14.3 Placement Fees & Cancellations Prior to Arrival

Placement fees are committed in advance to programme preparation, accommodation, staffing, and local arrangements. As such, full refunds are not available once payment has been made.

Where written notice of cancellation is provided and accepted, the following may apply:

  • Cancellation more than 60 days before arrival: up to 80% of the placement fee
     

  • Cancellation 31–59 days before arrival: up to 50% of the placement fee
     

  • Cancellation 30 days or less before arrival: no placement fee refund
     

  • Cancellation on or after the agreed arrival date: no placement fee refund
     

Any approved refund is subject to a fixed USD 75 processing fee, which will be deducted from the refund amount.

If a participant was referred via an agent or third-party platform, any communication of refund request must be made through that agent and remains subject to their policies.

 

14.4 Cancellations, Early Departure & Programme Termination

No refunds, credits, or compensation are issued in the event of:

• Early departure for any reason, including personal, medical, or travel-related circumstances
• Voluntary withdrawal from the programme, whether prior to or during participation
• Termination resulting from misconduct, non-compliance with policies, or safety concerns
• Placement suspension or termination initiated by host institutions due to operational, staffing, or institutional decisions

Where participation ends early or is curtailed for any reason, Medi Trip bears no obligation to provide refunds, credits, extensions, substitute placements, or compensation. Any additional costs incurred, including accommodation, transport, medical expenses, visa changes, or flight modifications, remain solely the responsibility of the participant.

 

14.5 Retention of Fees

Placement fees may be retained for up to 39 weeks from the date of payment for rescheduling, subject to availability. After this period, a new placement fee will be required.

 

15. Force Majeure & Safety Override

Medi Trip may alter, suspend, relocate, or terminate services, placements, or programme activities at any time due to events beyond reasonable control, including but not limited to political unrest, government directives, public health emergencies, natural disasters, security concerns, or operational restrictions imposed by authorities or host institutions.

Where such events result in early departure, suspension, or termination of participation, no refunds, credits, extensions, or compensation are owed, regardless of whether the decision to depart is made by the participant, Medi Trip, or a host institution.

Any additional costs arising from such events, including accommodation, transport, medical expenses, visa changes, or flight modifications, remain the sole responsibility of the participant.

 

16. Data Protection

Medi Trip processes personal data in accordance with applicable UK data protection law. Information may be shared with third parties where necessary for programme delivery, compliance, or safety.

 

17. Limitation of Liability, Assumption of Risk & Indemnity

17.1 Statutory Rights

Nothing in these Terms excludes or limits Medi Trip’s liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability which cannot be excluded or limited under applicable law.

 

17.2 General Limitation of Liability

Subject to clause 17.1, Medi Trip shall not be liable for any loss, injury, illness, death, damage, delay, expense, cost, or consequence suffered or incurred by a participant arising out of or in connection with participation in the programme, whether occurring during placements, accommodation, travel, daily living, or any programme-related activity.

 

17.3 Third-Party Acts, Omissions & Decisions

Participants acknowledge that Medi Trip facilitates participation within environments operated, controlled, or regulated by third parties. Medi Trip accepts no liability for the acts, omissions, standards, decisions, supervision, or conduct of host institutions, hospitals, clinics, supervisors, medical staff, accommodation staff, transport providers, contractors, public authorities, regulatory bodies, or any other third parties.

 

17.4 Placement, Clinical & Institutional Environments

Medi Trip does not own, manage, or control placement facilities, clinical decision-making, medical treatment, staffing levels, supervision arrangements, public infrastructure, utilities, security services, or emergency response systems. Medi Trip shall not be liable for outcomes arising from conditions, limitations, operational realities, or decisions within such environments.

 

17.5 Health, Travel & Environmental Risks

Participants acknowledge and accept that international travel and participation in healthcare, community, and public-sector environments involve inherent risks, including but not limited to illness, injury, disease, infection, accidents, transport incidents, crime, environmental conditions, infrastructure limitations, and rapidly changing circumstances. Participation is voluntary and undertaken entirely at the participant’s own risk.

 

17.6 Force Majeure Alignment

For the avoidance of doubt, Medi Trip shall not be liable for any loss, damage, injury, cost, expense, or consequence arising from events described under Section 15 (Force Majeure & Safety Override), including where such events result in programme disruption, early departure, relocation, suspension, or termination, regardless of whether the decision is made by the participant, Medi Trip, a host institution, or a public authority.

 

17.7 Insurance Responsibility

Participants are solely responsible for obtaining and maintaining appropriate travel insurance, medical cover, personal liability insurance, and professional indemnity insurance where applicable. Medi Trip accepts no responsibility for any gaps, exclusions, invalidation, or refusal of insurance coverage, nor for any costs incurred where insurance is insufficient, unavailable, or declined.

 

17.8 Indirect, Consequential & Non-Financial Loss

To the fullest extent permitted by law, Medi Trip shall not be liable for any indirect or consequential loss, including loss of earnings, loss of opportunity, loss of academic credit, professional or career outcomes, reputational damage, emotional distress, disappointment, or dissatisfaction.

 

17.9 Participant Conduct & Scope of Practice

Medi Trip accepts no liability for loss, harm, damage, or consequence arising from a participant’s conduct, including failure to follow guidance or supervision, acting beyond authorised scope of practice, non-compliance with local law or institutional rules, misrepresentation of qualifications, or participation in independent or non-programme activities.

 

17.10 Aggregate Liability Cap

Subject to clause 17.1, Medi Trip’s total aggregate liability to any participant, whether arising in contract, tort, negligence, misrepresentation, or otherwise, shall not exceed the total programme fees paid directly to Medi Trip by that participant.

 

17.11 Release & Indemnity

To the fullest extent permitted by law, participants agree to release, indemnify, and hold harmless Medi Trip, its directors, officers, employees, agents, coordinators, and representatives from any claims, demands, proceedings, losses, liabilities, or costs arising directly from the participant’s own acts or omissions, including misconduct, non-compliance with these Terms, unlawful behaviour, or actions taken beyond authorised scope of practice, except where liability cannot be lawfully excluded.

18. Representations & Public Statements 

Medi Trip recognises the right of participants to express opinions, share experiences, and provide honest feedback, including through reviews and online platforms.

Nothing in these Terms restricts lawful expression of opinion or fair comment.

However, no individual or otherwise should make, publish, or circulate any statement, review, post, message, or other content, whether written, digital, or otherwise recorded that is knowingly false, misleading, malicious, or defamatory, including libellous statements presented as statements of fact about Medi Trip, its staff, partners, host institutions, or associated communities.

Medi Trip reserves the right to take reasonable and proportionate steps to protect its reputation where false or defamatory statements are made, including requesting correction, clarification, or removal of such content, and pursuing remedies available under applicable law.

 

19. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.

 

20. Acknowledgement

By signing or participating, you confirm that you understand the nature and limits of Medi Trip’s role, accept inherent risks, and agree to these Terms in full.

Medi Trip Limited – Safeguarding & Protection Policy Effective Date: January, 2026 Applies to: All participants, volunteers, interns, staff, coordinators, supervisors, and partners engaged through Medi Trip Limited. 1. Purpose & Commitment Medi Trip Limited (“Medi Trip”) is committed to safeguarding and promoting the welfare, dignity, and rights of all individuals encountered through its programmes, with particular regard to children and vulnerable adults. Safeguarding is understood as the responsibility to prevent harm, abuse, exploitation, and boundary violations, and to respond appropriately if concerns arise. 2. Scope of This Policy This policy applies to: All Medi Trip participants, volunteers, and interns Medi Trip staff, coordinators, and representatives Host institutions, supervisors, and partner organisations (as applicable) This policy applies across: Healthcare settings Community projects Educational settings Accommodation environments Any programme-related activity 3. Definitions Child: Any person under the age of 18 Vulnerable adult: Any person who may be unable to protect themselves from harm or exploitation due to age, illness, disability, trauma, dependency, or social circumstances Safeguarding concern: Any suspicion, disclosure, observation, or allegation of abuse, exploitation, neglect, or inappropriate conduct 4. Core Safeguarding Principles Medi Trip operates on the following principles: Zero tolerance for abuse, exploitation, or harassment Respect for dignity, consent, and personal boundaries Cultural sensitivity without compromising safety or ethics Clear professional boundaries at all times Shared responsibility for reporting concerns 5. Participant Conduct & Boundaries All participants are required to: Maintain professional and appropriate behaviour at all times Respect personal, cultural, and institutional boundaries Follow host institution safeguarding rules and supervision Act within their authorised role and scope Participants must not: Engage in unsupervised or private contact with children or vulnerable adults Provide money, promises, or favours to children or families in exchange for favours Form personal, dependent, or exploitative relationships Take children off-site or into private spaces Share personal contact details with children or vulnerable individuals 6. Photography, Media & Consent Photography or filming of individuals requires explicit consent Images of children require institutional approval and must be minimal, appropriate, respectful, and non-exploitative Images must not be shared in a way that compromises dignity, privacy, or safety (including full names, location or other identifiable information of individual children) Social media content must follow Medi Trip guidance 7. Reporting Safeguarding Concerns Any safeguarding concern must be reported promptly to the Medi Trip local coordinator or designated safeguarding contact. Concerns may include: Disclosures by a child or vulnerable adult Observed inappropriate behaviour Boundary violations Suspected abuse or exploitation Behaviour causing discomfort or concern Reports will be: Taken seriously Treated confidentially where possible Managed proportionately and appropriately 8. Response & Action Where a safeguarding concern is raised, Medi Trip may: Assess the risk and take immediate protective action Remove a participant from a placement or programme Escalate concerns to host institutions or relevant authorities Terminate participation without refund where necessary Safeguarding decisions prioritise safety over programme continuity. 9. Confidentiality & Information Sharing Information relating to safeguarding concerns will be: Shared only on a need-to-know basis Disclosed to authorities where required by law or safety considerations Absolute confidentiality cannot be guaranteed where safety is at risk. 10. Breaches of This Policy Breaches of this Safeguarding Policy may result in: Immediate removal from placement or programme Termination of participation without refund Reporting to host institutions, universities, platforms, or authorities 11. Policy Review This Safeguarding Policy is reviewed periodically and may be updated to reflect legal, operational, or contextual changes. 12. Acknowledgement All participants are required to read, understand, and comply with this Safeguarding Policy as a condition of participation.
